Full Charge Bookkeeper
1.0 FTE

The Salem Keizer Education Foundation is a catalyst for the enhancement of the education of Salem-Keizer public school students by providing resources for creative and innovative programs and materials, educating and mobilizing the community, and sustaining collaborative partnerships that support its goals.

The full charge bookkeeper will perform work of diverse character serving as a bookkeeper; purchasing materials and equipment; conducting invoice activities; paying vendors for delivered materials; providing inventory support; payroll and performing clerical/ administrative functions. This position will work in partnership with team members, school staff, community volunteers, youth and parents to support the organization.

Role and Responsibilities:

  • Payroll and Benefits Administration – Verify timesheet policy compliance, prepare bi-monthly payroll, prepare unscheduled payroll checks and reimbursements as needed, manage paid time off (PTO) and benefit deductions.
  • Accounts Payable – Manage department expense approvals, management bill payment system, audit bills for accuracy.
  • Accounts Receivable  – Reconcile credit card payments, prepare and audit bank deposits, audit administrative staff receipt processing, coordinate with collections agency as required. Manage multiple grants and contracts and their reporting requirements.
  • Reconciliation – Enter bank, credit and loan transactions and maintain the balance sheet, weekly cash flow report, and monthly reports as needed for the Board of Directors.
  • Reporting and Budgeting – Prepare regular profit and loss and budget reports, manage department and school budgets and be staff to the monthly Finance and Governance meetings. Prepare agency-specific financial reports, prepare year-end tax reports for the CPA firm and WS/1099’s. Prepare year-end analysis of programs and events.
  • Inter-Departmental Support – Provide support to the organizations teams, working closely with development, the registrar, and Enrichment Academy.
  • Organizational Development – Identify new opportunities to better serve our customers and team, provide support to organization – wide initiatives and strategies, acts as a key member of the executive team and support person to the Executive Director with an emphasis on strategic decision making for the organization, present monthly to the Board of Directors.
  • Serve as a bookkeeper – Assist with budget preparations; handle accounts; make bank deposits; maintain ledgers; pay bills; prepare financial statements and reports including the profit and loss statement and balance sheet; receipt money; reconcile bank account; set up cash box for events; distribute money within the departments; collect funds; assist departments, programs and staff in balancing their bookkeeping ledger and receipt books; assure expenditures are in accordance with code balances for item acquisition; keep the supervisor informed as to the balances of internal accounts; identify cash management systems; and prepare payroll.
  • Purchase bookkeeping supplies, materials and equipment for departments – Receive requests for materials and equipment; prepare purchase orders for items in accordance with procedures; transmit purchase orders directly to vendors for purchases; transmit the purchase order to the central office if local, state, or federal money is being used; query vendors concerning item delivery; inspect received items; follow up to correct delivery glitches; handle the purchase order paperwork to be accomplished after item receipt and deliver item(s) to requestors.
  • Conduct invoice activities and pay vendors for delivered materials – Ensure that invoices are correct regarding material quantity/quality specifications; review invoices listed prices; make necessary pricing adjustments; make computer entries and cuts checks for vendors.
  • Provide inventory support – Maintain office materials and supplies at levels to sustain organization operation; receipt and store them; enter new equipment obtained with local funds into the fixed asset information system, tag new equipment, enter data into the inventory, prepare inventory report, and account for all fixed asset equipment owned by the company.
  • Perform clerical/administrative functions – Enter data, type, generate work orders; handle phone calls and incoming mail; install software programs; maintain files; make minor repairs to office equipment; prepare correspondence and reports; serve as the receptionist; assist with organizational meetings and events; and serve as the fixed asset manager.
  • Assist with grant and contract management – SKEF operates with multiple funding sources including but not limited to Federal grants and contracts. Enter, maintain and monitor all grant documents and reconcile to budgets.

Bookkeeping Job Description Specifications:

  • Demonstrated experience and desire to be a key contributor to confidential collaboration and decision making at the executive level.
  • Exceptional attention to detail with a high level of accountability to accuracy and consistency within the organization’s process flow.
  • A minimum of 5 years of experience with Quickbooks, Intuit, and payroll
  • Demonstrated experience with GAAP
  • Proven ability to maintain confidentiality
  • Industry expertise
    • Knowledge of bookkeeping and generally accepted principles of governmental accounting
    • Knowledge of accounting techniques and procedures
    • Knowledge of how to type and code purchase orders
    • Knowledge of maintaining account balances and reporting on their status
    • Knowledge of proper preparation of tabular materials, charts and statistical data
    • Knowledge of Quick Books, Intuit software bookkeeping software


Coordinating skills to organize and maintain financial records such as:

  • Departmental activity accounts; processing purchase orders for supplies; providing monthly and yearly financial reports; scheduling warehouse orders; accounts payable open purchase order file; fixed asset account; timesheets, phone bills, travel, and comp-time; administrative skills to monitor financial data and interpret financial policies and procedures
  • Analytical skills necessary include: analyzing and preparing tax reports for correct payment to Department of Revenue; diagnose accounting problems, maintain records of departmental and program spending; communication skills to communicate with team, outside vendors and to negotiate best price with suppliers, computer skills for hardware and software installation and maintenance, manual skills for typing, keying, filing, storage and removal of records; planning skills such as budgeting/scheduling to prepare annual financial budget, time management to assure bills are paid on time, orders processed and delivered and to make bank deposits.
  • Successful candidate is organized with strong verbal and written communication skills; strong listening capabilities; Courteous and professional conduct
  • Self-starter and problem-solver with strong initiative and ability to design, implement and evaluate projects and demonstrated ability to create positive learning environment
  • Fingerprinting and Child Abuse Index Clearance from Department of Justice
  • Works effectively with team, staff, customers, and Board of Directors, maintain a valid drivers license and insurance
Preferred Qualifications
  • Previous experience with non-profit accounting
  • BS or BA in Accounting or Finance
